EXHIBITORS INFORMATION FOR 2025

Welcome to FOTOFEST '25.

FOTOFEST is open to anyone from across the country to exhibit, not just Hawke's Bay photographers.
Please use the form below to register your interest as an exhibitor in this years FOTOFEST. Once the form has been received you will be added to our exhibitors list to be considered for this years exhibition programme. Information below outlines exhibiting, fees and venues for exhibitions. Registration is open until June 20th. 
Note : If you are youth age, our youth competition opens in June for youth living within Hawke's Bay.

1.Presentation of work
We are always looking for creative ways to exhibit works during the Festival. Work can be displayed in different ways as we have seen over the last four years, through hanging or framing.
Your bio and any print information and pricing if work is for sale is required printed to a minimum of A4 on heavy weight card ( not paper) when installing or sending your work. 

2.Where will my work be exhibited ?
There are a few options when exhibiting.
Our goal is to introduce our photographers to a business owner through our street exhibitions. We have different locations around the city within retail windows and business premises. We work with retailers to make space available and where possible will match work to a business style.
Exhibitors are welcome to source their own location but we ask to please let us know in advance. This is a great way to have your work seen.
We also encourage your own exhibition opening. A great way to have your family and friends included, hit a bar of go out for a meal afterwards.
This year as well as Hastings, we also propose to have work in Havelock North village and Napier city.

3.Is there a Fee to exhibit?
We charge a singe fee of $100 to exhibit and be included in the FOTOFEST programme.

Your work needs to be self installed, :ie we introduce you to the business/retail space for you to talk to them about where your work will look best. We suggest some in a street facing window, with some work if possible, also inside the shop.
If you are an out of town exhibitor we are happy to receive your work and install for you  (only applies to exhibitors not physically here in Hawke's Bay region). 
All printing and framing is the photographers costs.
Work also must be packed down by exhibitor at end of the festival, usually within 2 weeks of the event ending. Many businesses like the exhibitions to stay for longer.

This year we also have secured CAN gallery in Napier, and have wall space of 1.8 metres for up to 16 individual photographers to exhibit. (1.8 metre width per exhibitor)
All registrations received before June 20th will be considered for this space, as well as invited photographers.
The cost to exhibit within CAN gallery is $150, with the gallery taking a commisison of 30% on sales.

4.How many prints should I supply and what size ?
Over the past festivals we have found exhibitions of 5 and up 10 finished prints work well to showcase each photographer but depends on final size and finish. Large panoramas may need a bigger space but not as many displayed.
We work with each photographer individually to showcase their work in the best way possible. If you have previous works or past exhibitions available we will look to accomodate larger frames etc into vacant window spaces or within larger business premises. We also suggest making available smaller prints, cards, calendars or opportunities to order these.

5.Minimum print size, mounting and framing
All work needs to be professionally mounted ( foamcore) and / or framed.
We have set a minimum mount/ frame size this year of 50x40cm. 
A collection of smaller images may be accommodated if the photographer has created a specific exhibition around this and they are mounted and/or framed.
We definitely don't want to restrict creativity in any way so please discuss your ideas with us so we can suggest the best platform for your exhibition but please know if we receive work unmounted it maybe returned.

 6.How will my work be promoted?
We will be promoting exhibitors and their work from the start of August on our website and social media pages as well as other media channels. 
During the Festival a map will be available with each exhibitor numbered to the location of their exhibition. These will be printed and distributed to local businesses and also available on line. 
There will be lead up press releases and continuous mention of exhibitor work.
We also suggest you sharing our posts and promoting to your followers to help get the word out.
Your work is also added to our online store prior to and after FOTOFEST finishes to capture any interest during the event. See sale of work below for commission rates.

As an exhibitor you are also invited to attend our opening event.

7.Sale of works
We encourage you to sell your work through Fotofest. Any sales through enquiries during the event, including online promotion, will incur a commission of 20% which will be deducted when passing the payment to the photographer.

8.Return of works
All works must be packed in returnable packaging and have a pre paid freight label ( NZ Post ) provided at time of delivery if out of town. Local photographers are responsible for packing down and collecting their own work.

9.Terms and Conditions
Work provided remains the property of the photographer but will be promoted prior to and during the event. Certain images may be used for promotional purposes online and in print after the event, in most cases with permission of the photographer will be sought prior.
All fees are to paid prior to the event, costs incurred in way of packaging , freight or any incidental costs are the responsibility of the photographer.
Images depicting private property or people have had permission sought to exhibit images publicly. 

10.Payment of Fees
Once your exhibtion has been accepted into the programme payment information will be provided. For reference see our bank details below.
